Cancellation & Refund Policy
Last updated: Client to supply: date this policy was last reviewed
1. Scope
This policy applies to bookings made with us for group departures and customized tours.
2. How to cancel
No cancellation is accepted over the telephone or by email. For a cancellation, please provide your original money receipt.
Send written notice to our office address, with your original money receipt.
3. Cancellation charges
The charge depends on how long before departure we receive your written notice.
| When you cancel | Cancellation charge |
|---|---|
| Within 24 hours of booking | ₹500 per head |
| 45 to 120 days from the date of journey | 20% per head of the total tour price |
| 30 to 45 days from the date of journey | 40% per head of the total tour price |
| 15 to 30 days from the date of journey | 60% per head of the total tour price |
| 7 to 15 days from the date of journey | 80% per head of the total tour price |
| Within 7 days of the date of journey | 100% per head of the total tour price |
4. Non-refundable components
Some parts of a tour are paid to third parties who do not refund them once issued. These are not refundable regardless of when you cancel.
Client to supply: confirm the exact list — typically air tickets, visa fees, permits, train tickets and non-refundable hotel advances
5. If we cancel
If we cancel a departure, you may move to another departure or receive a refund.
Due to unavoidable circumstances, if the tour is cancelled the entire advance amount will be refunded without any compensation.
6. Force majeure
Some things are outside anyone's control: weather, landslides and road closures, government restrictions, and temple or shrine closures. These are a real possibility on Himalayan routes in particular.
Where a trip is disrupted for such a reason, we will recover whatever we can from suppliers and pass it on, but amounts already paid and not recoverable cannot be refunded.
Client to supply: confirm how force majeure disruptions are handled
7. No-show
Client to supply: what applies when a traveller does not appear at departure
8. Date changes and transfers
Client to supply: whether a booking can be moved to another departure, and any charge for doing so
9. Refund method and timeline
Client to supply: how refunds are paid and how long they take
10. Amendment charges
Client to supply: charges for changing traveller names, room configuration or other booking details
